Structure of studies on Sisu

Detailed instructions on how to create a study plan on Sisu and an overview of the ‘Structure of studies’ section.

Redesigned view

The Structure of studies view in Sisu has been redesigned. The current view remains a default for the time being. If you wish, you can try out the new view or just continue using Sisu as before.

You can switch to the new view of the Structure of Studies section by selecting Use the new Structure of studies page at the top of the page, and by clicking on the same item again, you will return to the current view.

Instructions for the new view

Making selections in your study plan 

  1. In your study plan (i.e. HOPS), click on the item for the selections you want to make.
    • The items could be the names of study modules or possible subheadings within a study module.
    • Do not click on study module codes, as that will not allow you to make selections.
  2. When you click on an item, it turns blue and the selection assistant appears on the right side.
    • Use the selection assistant to make your selections related to the item.
    • The selection assistant helps you to make your selections in conformity with the rules. For example, it may prompt you to select one more item (‘Select 1 pc’) or to select a certain number of credits.
  3. Make your selections by clicking the toggles next to the items displayed by selection assistant.
    • The items displayed in the selection assistant may be study modules, grouping modules or study units.
      • In Sisu interface study units are called courses, and this is why the term course is mostly used in the instructions.   
    • Depending on your situation, one of the following may happen when you click a toggle:
      • A white toggle that turns blue means that you have added the item to your study plan.
      • A blue toggle that turns white means you have removed the item from your HOPS study plan.
      • A grey toggle that remains grey means that the item is a compulsory part of your HOPS study plan. The only way to remove compulsory studies is through free edit mode.
    • Your selections are saved automatically.
  4. Depending on the situation, the selection assistant may include a search function.
    • Use it to search for and add any Aalto University courses or study modules (e.g. elective studies or minors) to your study plan.
  5. After selecting the studies to put in your study plan, choose how you will complete them. Do this by clicking the Select a completion method, which appears under the studies box. If there is only one completion method for a course, Sisu selects it automatically.

Course equivalences

Some Aalto courses may correspond to other Aalto courses. This means that you may substitute a course with an equivalent course. If a course can be substituted with another course, this is indicated in the course information sheet.

  1. To see the information sheet of a course, click the course code in your study plan.
  2. Go to the ‘Equivalences and substitutions’ tab.
  3. If equivalences have been defined, they are listed in the section ‘Equivalent courses at higher education institution (Aalto University)’.
  • If the equivalence has been entered into Sisu directly, you can also select the equivalent course directly. Simply use the menu in the course information sheet.
    • The selection is usually saved automatically, but please check your study plan to make sure that Sisu saved it.
    • The equivalent course is marked with an icon with two arrows pointing in opposite directions.
    • If you want to edit or cancel the equivalence, please click the icon with two arrows.
    • If you need to, you may also change the version of the equivalent course in your study plan. For more information: Changing versions in your study plan
  • It is also possible that information about equivalent courses is only available as text. In this case, you need to need to use the free edit mode to apply to have the equivalent course substituted for the original one.

Compensating for Aalto University studies with studies you have completed at another university

Study module status

The status of each item in your study plan is indicated next to its name on the right-hand side.

Confirming a minor as part of your study right in Sisu

You can only confirm your right to pursue minor subject studies through a study plan (HOPS) created for a degree for which you have a right to study.

  • You can only add minors to the sections where nothing but minors are allowed.
  • For these sections, the selection assistant displays the following text: ‘Search only for minors.’
  • Note: Your right to study in your degree programme needs to be confirmed first. Only then can a minor be confirmed as part of your bachelor’s or master’s degree.

Changing versions in your study plan

You may need to change the version of a course, study module, minor or master’s-level study plan to ensure that your study plan has the right structure. 

  • The courses, study modules, minors etc. in your study plan automatically follow the curriculum that was in force in the academic year when you created your study plan.
  • If your plan contains older versions of courses, a banner will appear on the top of the page notifying you about it. The banner also includes a link via which you can update course versions easily.
  • You cannot select a version that is older than your right to study.

General instructions on changing versions:

  1. Go to your study plan and click on the underlined code of the element in question.
  2. Switch between versions by clicking on the list of academic years under the name of the element.
  3. Sisu will now display the following notification: ‘You are viewing a version of the study module that is not included in your study your plan. Use this version.’
  4. Click the link ‘Use this version’.

Free edit mode

Use free edit mode if your studies do not follow the structure of your degree programme. An administrative staff member from your programme has to accept the changes you make in the free edit mode before you may graduate. You need to request approval for any changes you make.

Courses with varying scope

If a course has a varying scope in credits (e.g. 1–10 ECTS credits), the teacher will confirm the scope when they are entering your study attainment into Sisu.

How to process courses with varying content

Some courses have varying content but the same course code (for example, CS-EV or ABR-ENG). You can only add one instance of a course like this to your study plan.

If your degree is going to include three courses with varying content that have the same course code, you can include the course with the correct course code in your study plan only once. Add the other two courses to your study plan as study drafts.

After you have completed all three courses, add them to your study plan.

Additional study plan functions

Instructions on new Structure of studies view

The instructions below focus on those elements of the new view which differ from the old one.

Key changes

  • The new view is accessible.
  • All changes are saved separately with the Save button, unlike in the current view where the changes are saved automatically.
  • To make changes to a part of the plan, click the button with three blue dots (...) on the right-hand side of the plan.

Making selections in your study plan

  1. Click the button with three blue dots (...) on the right-hand side of the study plan item that you intend to make changes to.
    • The items could be names of study modules or grouping modules within a study module.
  2. A dialogue box opens where you can make selections concerning the item.
    • The Rule rows on the screen guide you in making selections with messages such as Select 1 pc or Select 20 cr.
  3. Make the selections of your choice.
    • Click on round buttons and/or square check boxes that are selectable.
      • Round selection buttons are used in cases where only a single item may be selected.
      • Check boxes are used in cases where multiple items may be selected.
    • No selection options are available for compulsory items.
      • The only way to remove compulsory studies is to use the free edit mode.
  4. If needed, use the search function if one is provided in the dialogue box.
    • Use it to search for and add any Aalto University courses or study modules to your study plan.
    • The search function is usually available for, e.g. electives or minor subject courses.
  5. When you have selected courses for your plan, choose the completion methods for each of them.
    • If there is only one completion method for a course, Sisu selects it automatically, but if it does not:
      • Click on the text Select a completion method in the box of the course.
      • You will see a dialogue box where you can select the method.
      • Click Confirm.
  6. Click Save to save the options you made in the dialogue box (or click Cancel if you want to cancel the selections you have made).
    • You can now what you have selected and how they influence your study plan as a whole.

Course equivalences

Some Aalto courses may correspond to other Aalto courses. This means that you may substitute a course with an equivalent course. If a course can be substituted with another course, this is indicated in the course information sheet:

  1. To see the information sheet of a course, click the course name in your study plan.
  2. Move to the Equivalences and substitutions tab.
  3. If equivalences have been defined, they are listed under Equivalent courses at higher education institution (Aalto University).
  • If the equivalence has been entered into Sisu directly, you can also select the equivalent course directly. Simply use the menu in the course information sheet.
    • The equivalent course is marked with an icon with two arrows pointing in opposite directions.
    • If you need to, you may also change the version of the equivalent course in your study plan: Changing the version of an equivalent course.
  • It is also possible that information about equivalent courses is only available as text. In this case, you need to apply to have the equivalent course substituted for the original one: Free edit mode
  1. Choose the course you wish to use in your study plan to substitute for another course.
    • The selection is usually saved automatically, but please check your study plan to make sure that Sisu saved it.
    • For the time being, you cannot edit or delete the equivalent courses you have chosen, but you can delete the course from the plan and add it back to the plan, so that the equivalence will be deleted.

Substituting studies completed at other universities for Aalto University studies

Study module status 

You can see the status of the contents of each study plan on the right-hand side of the page.

Approval required

A study module or a grouping module under it may require separate approval (e.g. a minor or elective studies). Before applying for approval, ensure that you have added all the courses you need and that they follow the rules.

How to apply for approval:

  1. Click the button with three blue dots (...) on the right-hand side of the study module or grouping module that you wish to have approved.
  2. In the window that opens, click on the ‘Apply for module content approval’ button.
    • If the button is inactive, your course selections are not complete. Use the selection assistant to go through the courses you have selected.
  3. Fill in the form and provide grounds for your application. Click on the ‘Submit application’ button.
  4. After your application has been approved, a message will be displayed on Sisu’s front page and in your messages.

Deviates from the content of the application

If you have applied for approval for a study module or a grouping module and then edited it, its status will change to deviates from the content of the application.

In this situation, you must

  • cancel your previous application for approval and apply for a new approval OR
  • edit the structure to match your previously approved application. 

Cancelling your application for approval:

  1. Click the button with three blue dots (...) on the right-hand side of the study module or grouping module for which you have applied for approval.
  2. In the window that opens, click the Show application link at the top to access the application form you have sent.
    • If you do not see the Show application link, you have applied for approval through another study plan. In this case, find the correct study plan where the button is displayed.
  3. Select Cancel application at the bottom of the form.
  4. Sisu will ask you to confirm. Select Yes.

You can now edit this study module or grouping module and send in a new application for approval if needed.

Deviates from approved content

If you have applied for approval for a study module or a grouping module, obtained approval for it and then edited it, its status changes to Deviates from the content of the application.

In this situation, you must

  • Either relinquish the approval that was given to you earlier, and send in a new approval application OR
  • edit the structure so that it matches the previously approved structure. 

Relinquishing the approval:

  1. Click the button with three blue dots (...) on the right-hand side of the study module or grouping module for which you have applied for approval.
  2. In the window that opens, click on the Show application link at the top to access the application form you have sent.
    • If you do not see the Show application link, you have applied for approval through another study plan. In this case, find the correct study plan where the button is displayed.
  3. Select Relinquish the approval at the bottom of the form that opens.
  4. Sisu will ask you to confirm. Select Yes, relinquish the approval.

You can now edit this study module or grouping module and send in a new application for approval if needed.

Selections conditionally approved

Conditional approval is usually granted in cases where the item contains one or more study drafts.

To get a final approval you must

  • apply for attainment through the study draft.
  • relinquish your conditional approval:
    • Click on the item for which you have received a conditional approval.
    • Click on the Show button to go to the approved application.
    • Select Relinquish the approval at the bottom of the form that opens.
    • Sisu will ask you to confirm. Select Yes, relinquish the approval.
  • Apply for approval in the free edit mode.

Confirming a minor as part of your study right in Sisu

This function is currently not available in the new view.

Changing versions in your study plan

For the time being, the new view only allows you to change between different versions of a course:

  1. In your study plan, click on the name of the course you want to take.
  2. Switch between course versions by clicking on the list of academic years under the heading.
  3. Depending on the situation, you will see one of two notifications under the menu:
    • You are viewing a version of the course which is not in your study plan. Use this version.
      OR
    • The version is not compatible with the study plan.
  4. Click the link Use this version.
    • If the selected version is not compatible with the study plan, select another version or do not change the course version at all.

Changing the version of an equivalent course

How to change the version of an equivalent course:

  1. In your study plan, click on the name of the course.
  2. Switch between versions by clicking on the list of academic years under the name of the course.
  3. Sisu will now display the following notification: You are viewing a version of the course which is not in your study plan. Use this version.
  4. Click the link Use this version.
  5. Close the course information sheet before selecting the equivalent course.
  6. In your study plan, click on the name of the course again.
  7. Go to the Substitutions tab.
  8. Go to the Equivalences section and select a substituting course there.
    • The selection is usually saved automatically, but please check your study plan to make sure that Sisu saved it. The equivalent course is marked with an icon with two arrows pointing in opposite directions.

Free edit mode 

Use free edit mode if your studies do not follow the structure of your degree programme. An administrative staff member from your programme has to accept the changes you make in the free edit mode before you may graduate.

How to go to the free edit mode

How to go to the free edit mode:

  1. Click the button with three blue dots (...) on the right side of the study module or grouping module you want to edit.
  2. A dialogue box opens.
  3. Click the button with three blue dots (...) on the right side of the dialogue box.
  4. In the menu, click Free edit mode.

Editing your study plan using the free edit mode

In the free edit mode:

  • you can add any courses or study modules to your study plan
  • you can add courses or study modules that you have already completed
  • you can delete courses and study modules
  • you cannot add courses or study modules that are a compulsory part of another section in your study plan.

Adding courses and study modules

  1. Activate the free edit mode (for instructions, see the section How to go to the free edit mode above).
  2. The dialogue box contains two items, Courses and Study modules, which allow you to search for what you want and add them to the plan.
  3. Click Save.

Adding studies you have already completed to your study plan using the free edit mode

This function is currently not available.

Deleting courses and study modules

  1. Activate the free edit mode (for instructions, see the section How to go to the free edit mode above).
  2. Find any courses and/or study modules that you wish to delete from your plan and uncheck the Select in plan check box beside them.
  3. Click Save.

Applying for approval in the free edit mode

This function is currently not available.

Additional study plan functions

Adding a course or study module from another university using Sisu to the plan

  1. Go to the Search tab.
    • Remember to change the name of the university as needed in the item Higher education institution.
  2. Find the courses in question by clicking on Search.
  3. Under the desired course, select Place in plan.
  4. From the drop-down menu, select the study plan you want.
  5. Using the selection button, select a study module that is part of the selected study plan and available for adding to your plan.
    • If no suitable study modules are available, you cannot add anything.
  6. Click Continue. You will see a summary of the addition you have made.
  7. Click Confirm and go to plan.

This is intended only to support the planning of studies. The studies selected in this way cannot be completed or incorporated into the degree as such; they require approval and compliance with the instructions of the relevant school. Aalto University is not responsible for studies offered by other universities. Only credits earned through cross-institutional studies will be transferred as is to the Aalto student information system.
