Electronic examination: EXAM Service

The development of the EXAM system is managed by a national consortium, and CSC is responsible for system maintenance. In the technical user guides of the system, you can find all instructions related to the basic use of EXAM, such as guidelines for creating and assessing exams.

On this page, you will also find Aalto University's teacher instructions, including those for individual study arrangements. Always guide your students on using EXAM service and how to operate in your exam. Aalto University's student instructions for EXAM can be find below.

Current issues

  • During the holiday season, from 15.12.2025 to 2.1.2026, the Undergraduate Centre (OK1) has shortened opening hours, which affect the opening hours of the EXAM rooms. However, we can keep the EXAM rooms normally open during week 51 (15-19.12.2025) with special arrangements. Therefore, access to the EXAM rooms after 15:30 is only through the Undergraduate Centre (OK1) main door (F-door).
  • The use of Wacom pen tablets connected to the EXAM computers has been limited. Due to their laborious maintenance, we are preparing for the possible removal of the Wacom pen tablets from the EXAM rooms. If you have used Wacom in your exams, please contact EXAM support at exam@aalto.fi.
  • The TI-Nspire calculator license has expired and is then not in use in EXAM. EXAM is now allowed to use browser-based GeoGebra calculator. To use it, add GeoGebra link  embedded in the text in your exams.

  • Creating an exam for a course in the EXAM service requires a valid  implementation in Sisu. If you can not find a valid implementation for your course, contact your school's Learning Services.
  • Applying Aalto University Examination Guidelines to the electronic EXAM system exams:

    Exams in the electronic EXAM service often have a longer exam period, compared to a traditional exam organised at a certain time. According to Aalto University Examination Guidelines, “The teacher in charge of the course is responsible for ensuring that, within four weeks of the examination date or other due date given for a study attainment, all students of the course are informed of their own grade for the course as well as the grade distribution and failing rate of the course”. With exams arranged through the EXAM service, this four-week period begins when the exam period defined by the teacher at the EXAM system ends. 

  • Using the accessible exam spaces XS OK1M131 and XS OK1M129 requires that the course teacher name the exam or exams in the EXAM system with the prefix XS (for example, XS Exam January 2030). Reservation without a XS prefix are cancelled by the admin.
  • The EXAM system uses the Safe Exam Browser (SEB) and is thus a very limited environment in which the functions of computers do not correspond to those of a normal computer. Thus, always test your exam in the right EXAM room on campus with a student role before the exam period begins, especially if it is a MyCourses Quiz exam that is carried out in the EXAM system. It is the teacher's responsibility to test that the exam works in the EXAM environment as the teacher has planned it (connection to the learning environment, attachments, links, programs, instructions, etc.). If you do not have a student role in the EXAM environment or need help testing your exam, please contact EXAM team well before your exam starts at exam@aalto.fi.

Individual study arrangements

Aalto University students may receive individual study arrangements for taking examinations in the EXAM system in an accessible exam room or extended time to take the exam. Students who need the individual study arrangements must obtain a written recommendation for them and contact the course teacher well before the examination (Individual study arrangements at Aalto).

The accessible examination rooms XS OK1M129 and XS OK1M131 are located in the first floor, M Wing, of the Undergraduate Centre (Otakaari 1).

Time extensions

As part of the individual arrangements, students may receive extended time to take an examination in the EXAM system. The extension should be arranged with the course teacher well before the examination. The extension is usually for extra one hour. For example, if 2 hours are given for a course examination, the student with an extension may be given 3 hours to complete the exam. If 3 hours are given for the examination, the student may be given 4 hours to complete it. For the teacher, approving an extension means that the teacher will create an examination for the student for the extended time period.

The longest possible time to take an examination in the EXAM system is 3 hours, so for a four-hour exam, the student is given two individually arranged exam sessions of 2 hours each. The student register for both exams and takes them together, the one following immediately after the other. A short toilet break between the two sittings of the exam are permitted. An individual arranged examination may be created by copying the general examination.

Opening attached files in EXAM
 

File attachments cannot be directky opened in the EXAM. Instead, they must be saved to the computer and then opened separately with the appropriate program.

Instructions for students, can be copied to exam instructions:

  1. Click ‘Attachment’  with the left mouse-button.
  2. You will receive a notice when the attachment has been downloaded.
  3. Open the program you want to use to open the attachment. The downloaded file can be found in the ‘aalto-exam’ folder.

Using links in an EXAM examination

Adding a link to an EXAM examination

EXAM is a closed environment, meaning that it is not connected to the internet. EXAM can be configured to allow access to a specific internet address, if warranted and requested by a teacher. Please contact EXAM support (exam@aalto.fi) well in advance if your examination needs to be linked to an internet address. When the link is put on the permitted links list by the EXAM support, you can use the guidelines below to instruct your students in how to use the link. Before publishing your exam for students, you should always test it a EXAM room on campus.

Opening a link in an EXAM examination

Instructions for students, can be copied to exam instructions:

Click on a link using the left mouse-button. This will open the link in a new window. Do not use the right mouse-button, as that may open the menu options instead. In addition, do not use shortcut key combinations to open the link, nor the Tab button to move between windows. Doing so may cause the EXAM system to stop functioning. You can also return to EXAM and the examination questions by using the Safe Exam Browser icon at the bottom of the screen.

MyCourses quiz using EXAM

If you have a MyCourses quiz ready and want to make it available using one of the EXAM service’s camera-monitored examination rooms, you can create an examination in the EXAM system and link it to your MyCourses quiz.

Please contact exam@aalto.fi before creating a MyCourses quiz to be linked to in EXAM for the first time. Ask to receive student access so you can test your quiz and examination in the EXAM environment. 

Instructions: 

  1. Create new exam (general or personal exam type).
  2. Fill in the exam info.
  3. Fill in the exam assessment section.
  4. Fill in the instructions that will be displayed to students during the examination, including instructions on how to open a link to a MyCourses quiz in the EXAM system's environment (link).
  5. Add a question with a link to MyCourses quiz. Please, add a link to the text instead of making it visible.
  6. Specify the publication settings: the exam period, the exam duration and one study attainment before assessment . 

Configure the MyCourses settings as follows:

  1. Timing: 'Period'  and 'time limit' in MyCourses correspond to the term 'duration'  in EXAM. The period and time limit is equal to, or contained within, the limits specified in EXAM. Please note: the students should be informed that the EXAM system will automatically close the connection when the EXAM time expires. The time remaining to take the examination begins to count down from the scheduled starting time of the exam. 
    Enable: open the quiz: fill in the start date of your exam period
    Enable: close the quiz: fill in the end date of your exam period
    Enable: Time limit: fill in the duration
  2. Grade: 'Attempts allowed' . This should be the same number as in EXAM (‘How many attainments before evaluation’ ):
  3. Review options: uncheck the options
  4. Safe Exam Browser (SEB): Yes – Use SEB client configuration.
  5. Common module settings: Availability. Make available, but not shown on course page.
  6. Please note, that students who are taking the examination need to be assigned to the MyCourses course area. It is good to ask students to check that they are enrolled in the MyCourses workspace  in question. 

Test the examination before letting students take it.

  1.  Check that you have both examiner and student rights to the EXAM system. If you lack either one, contact exam@aalto.fi and make a request.
  2. Copy the original exam as a personal exam, then add yourself  as a student.
  3. Book an exam slot  and follow the instructions.
  4. In the examination in the EXAM system, check that the link  works.

Using a Wacom drawing tablet in EXAM

You can use the Wacom drawing tablet to write notes by hand. Always check your exam instructions in case of additional Wacom drawing tablet instructions.

Getting started with Wacom drawing tablet

  1. If Wacom does not start automatically, press the power button on the top right corner of the tablet to turn it on. You do not need to change the tablet's settings.
  2. You can use the stylus pen like a mouse. You can move the cursor by holding it slightly above the device without touching the surface of the screen.
  3. The other end of the stylus pen works like an eraser.
  4. Return the stylus pen to its holder after use.

How to make notes on Wacom using Word

  1. Open Word from the shortcut icon at the bottom.   
  2. In order to draw or sketch, go to the Draw tab and select Drawing Tools or Draw with Touch
  3. You can change the colour of the pen or choose the eraser .
  4. If you wish to save your notes as part of your exam answers, save the file on your desktop (.docx, .pdf or .jpeg). After saving, attach the file to your exam answers. If you wish to attach more than one file to an exam answer, compress the files into a .zip folder. Remember to save the document containing your notes often enough  on your desktop, because if there is a power outage, the files on the desktop will be lost.
  5. The computer deletes the files on the desktop when you finish the exam.

Creating a zip file in EXAM

EXAM allows to upload one document as an attachment. To add several documents, use 7-zip program to compress files.

Save the documents you want to compress in a folder. Right-click on the folder you want to compress and select the "7-zip" option from the context menu. Choose the "Add to archive" option. In the window that appears, you can select the desired compression format, set the compression level, and specify other options. The compressed file is now ready to be downloaded as an attachment to EXAM.
